The Client

Cobra Studio, the creative agency behind our portfolio site collaboration, returned with a new challenge. As their team grew from 8 to 25 people, employee operations became fragmented across spreadsheets, messaging apps, and email threads.

The Challenge

HR processes were manual and error-prone. Shift scheduling lived in a shared spreadsheet, leave requests happened over chat, and performance reviews were inconsistent across departments. The studio needed a centralized system that could scale with their growth without adding administrative overhead.

The Approach

We built a custom web application with role-based access control. The system was designed modularly, so features like scheduling, time tracking, and performance reviews could be developed and deployed incrementally. The platform was structured to support multi-department workflows with approval chains.

The Solution

The intranet includes employee profile management with onboarding checklists, a visual shift scheduler with conflict detection, clock-in/clock-out time tracking with exportable reports, a performance evaluation module with customizable rubrics, document management with version control, leave request workflows with manager approvals, and discussion forums organized by department. An administrative dashboard provides managers with workforce analytics and alerts for pending approvals.

Administrative time spent on HR tasks dropped by 60%. Shift scheduling conflicts were eliminated entirely through automated conflict detection. Leave request processing time went from 2 days to under 4 hours. The performance review completion rate reached 95%, up from roughly 50% when reviews were handled manually. Employee satisfaction surveys showed a 40% improvement in satisfaction with internal communication.
